Privacy Policy
Kingly ("we", "us", "our"), built and supported by Kingly Equine, provides a web application that helps equestrian trainers and barns manage horse shows, horses, services, billing, feed plans, tasks, and team members ("the Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service you agree to the practices described here.
1. Information We Collect
- Account information. Name, email address, password (stored hashed using bcrypt), barn / business name, role (main account or sub-account), and mobile phone number if you choose to provide one.
- Workspace data. Information you create inside the app, including horses, owners, services, providers, shows, enrollments, service charges, feed plans, tasks, assignments, and invoice settings (logo image, contact details, payment handles such as PayPal, Venmo, Cash App, Zelle).
- Usage data. Log entries that include timestamps, IP addresses, browser type, and the API endpoints accessed. We use this for security, debugging, and abuse prevention.
- Cookies. A first-party, HTTP-only authentication cookie containing a short-lived JSON Web Token. We do not use third-party advertising cookies.
2. How We Use Your Information
- To create and authenticate your account and keep it secure.
- To provide the Service's features (data storage, multi-tenant separation between barns, reporting, invoicing).
- To send transactional SMS notifications to team members and clients who have opted in — task assignments, time-based task reminders, show and invoice notifications, veterinary record reminders, and one-time account security codes.
- To respond to support requests and improve the Service.
- To comply with applicable law and prevent fraud or abuse.
We do not sell, rent, or share your personal information with third parties for advertising or marketing.
3. SMS / Text Messaging Program
Our SMS messages are transactional and are sent only to individuals who have opted in by providing their mobile number and consenting to receive SMS notifications. Standard message and data rates may apply. Message frequency varies depending on your tasks, invoices, and barn activity.
Opt-in. Mobile numbers are provided through the Kingly web application — either directly by the user or by the barn's main account holder with the user's consent. By providing your number you consent to receive these transactional messages. Consent is not a condition of any purchase.
Opt-out. You may opt out at any time by:
- Toggling SMS off in Settings → Team → Edit on your account, or
- Replying STOP to any message we send you. Reply HELP for help, or contact us at admin@kinglyequine.com.
We do not share mobile numbers with third parties for marketing purposes. Numbers are transmitted only to our SMS delivery provider (Twilio, Inc.) for the purpose of sending you these transactional messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of personal information described in this policy exclude text messaging originator opt-in data and consent; text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the text message services (used solely to deliver the messages).
4. Service Providers
We use a small number of vetted third-party services to operate the Service:
- Twilio — to deliver SMS notifications.
- SendGrid — to deliver transactional email.
- Stripe — to process invoice payments.
- MongoDB — to store application data.
- Cloud hosting provider — to run the application servers.
These providers process data on our behalf and are contractually required to protect it.
5. Data Security
We take reasonable measures to protect your data, including encryption in transit (HTTPS/TLS), bcrypt password hashing, HTTP-only authentication cookies, and per-barn workspace isolation so one barn cannot access another barn's data. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
6. Data Retention
We retain account and workspace data for as long as your account is active. If you delete data inside the app (e.g., a horse, a show, a sub-account), it is removed from our active database. Backups may retain copies for up to 30 days before being overwritten.
7. Your Rights
- Access, update, or delete information inside the app using the provided settings.
- Request a copy of your personal data or full account deletion by contacting us at admin@kinglyequine.com.
- Disable SMS notifications via Settings → Team or by replying STOP to any message.
If you are in the European Economic Area, the United Kingdom, or California you may have additional rights under GDPR / UK GDPR / CCPA, including the right to portability and the right to object. Contact us to exercise these rights.
8. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
9. International Users
The Service is operated from the United States. If you access it from outside the US, you understand that your data will be transferred to and processed in the US.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be announced inside the app or via email to the main account holder.
